Volunteer Agreement

Thank you for your interest in volunteering with Project Rainbow Utah (PRU). By signing up to volunteer, you agree to the following terms and conditions. Please read carefully to understand your responsibilities and the commitments we mutually share in achieving our mission.

1. Purpose of Agreement

This agreement defines the roles, expectations, and responsibilities between Project Rainbow Utah and its volunteers. By agreeing to volunteer, you understand that this is an unpaid position intended to support PRU’s mission to empower and uplift LGBTQ+ individuals through visibility and inclusivity.

2. Volunteer Role and Expectations

As a volunteer with PRU, you agree to the following:

- Complete tasks assigned to you to the best of your ability.

- Adhere to PRU’s policies, values, and mission while performing volunteer work.

- Maintain respect, inclusivity, and professionalism in interactions with other volunteers, community members, and staff.

- Be reliable, punctual, and inform PRU in a timely manner if you are unable to fulfill your commitment or assigned tasks.

- Follow any safety protocols and guidance provided by PRU staff during in-person activities or events.

3. Volunteer Responsibilities

You understand that volunteering with PRU may involve tasks such as but not limited to:

- Event setup and takedown.

- Canvassing or delivering campaign materials (e.g., flag campaigns).

- Administrative tasks (e.g., data entry, organizing materials).

- Community outreach and support.

You are responsible for your own transportation, meals, and any personal expenses unless specifically outlined in a project or event.

4. Confidentiality and Data Protection

In some cases, you may have access to confidential information, including but not limited to personal information of other volunteers, donors, or community members. You agree to:

- Maintain the confidentiality of such information.

- Refrain from sharing, distributing, or using any personal or sensitive information outside of PRU’s volunteer activities.

- Abide by PRU’s Privacy Policy outlined in the Unified Communication and Privacy Policy (UCPP).

5. Code of Conduct

PRU is committed to creating an inclusive, supportive, and respectful environment for all. As a volunteer, you agree to uphold the following code of conduct:

- Treat everyone with respect, regardless of race, gender identity, sexual orientation, religion, or background.

- Refrain from engaging in discriminatory, harassing, or inappropriate behavior.

- Promote PRU’s mission of inclusivity and equality in all volunteer-related interactions.

6. Termination of Volunteer Status

Either PRU or you, as a volunteer, may terminate this agreement at any time without prior notice. PRU reserves the right to end your volunteer status for any reason, including but not limited to:

- Violations of PRU’s code of conduct.

- Inconsistent or unfulfilled commitment to tasks.

- Engaging in activities that harm PRU’s mission or reputation.

7. Health and Safety

When participating in PRU events or activities, you agree to:

- Follow all safety protocols provided by PRU.

- Notify PRU staff immediately of any safety concerns, injuries, or hazards during your participation.

- Take responsibility for your own health and safety while volunteering.

8. Flag Staking Activities and Responsibilities

As a volunteer for Project Rainbow Utah, you may choose to participate in various activities, including flag staking. If you sign up for flag staking, the following terms and conditions will apply in addition to the general volunteer guidelines:

8a. Flag Staking Overview:

Volunteers participating in flag staking will be responsible for the placement and retrieval of flags in designated areas. This includes collecting materials (e.g., flags, stakes, instructions), adhering to scheduled timelines, and following the flag display and retrieval protocol provided by Project Rainbow Utah.

8b. Personal Vehicle Use:

If you are using your personal vehicle to transport flags and equipment, you are responsible for ensuring that your vehicle is adequately insured and in good working condition. Project Rainbow Utah will not be liable for any damages, injuries, or claims arising from the use of your personal vehicle during flag staking activities.

8c. Safety and Conduct:

Volunteers must use all tools and materials provided for flag staking in a safe and responsible manner. Please be mindful of the potential hazards associated with handling sharp objects, heavy equipment, and impact tools. It is strongly recommended that volunteers wear protective gloves and take necessary precautions to avoid injury when driving stakes, handling materials, or using any equipment related to flag staking. Additionally, volunteers should remain aware of their surroundings, including traffic, weather conditions, private property boundaries, and any other environmental factors that could impact safety while performing their duties.

8d. Respect for Property:

Volunteers are expected to respect the property and privacy of individuals in the areas where flags are being staked. Volunteers should avoid damage to landscaping or property while placing and retrieving flags and should adhere to the specific instructions provided for each flag staking location.

8e. Communication and Reporting:

Volunteers are required to report any issues encountered during flag staking (e.g., damaged flags, concerns about property, or incomplete routes) to Project Rainbow Utah within 24 hours of the event. Additionally, volunteers are expected to communicate promptly with coordinators regarding any changes in availability or the ability to complete assigned flag routes.

8f. Code of Conduct and Non-Discrimination:

As a representative of Project Rainbow Utah, you agree to uphold the organization’s values of inclusion, respect, and dignity for all individuals, regardless of background or identity. Discriminatory or harmful behavior while volunteering, including flag staking, will not be tolerated and may result in dismissal from volunteer activities.

9. Media Consent

By volunteering with PRU, you consent to being photographed, filmed, or recorded during volunteer activities. PRU may use these images or recordings for promotional purposes, including but not limited to social media, newsletters, or other materials.

10. Volunteer Consent and Waiver

You understand that volunteering with PRU may involve physical activity and the risk of injury. By agreeing to volunteer, you release and hold harmless PRU, its staff, and other volunteers from any liability for any injuries, losses, or damages that may occur while volunteering.

You also agree that PRU is not responsible for any personal property that may be lost, stolen, or damaged while volunteering.
